Project Milestones, Tasks, Activities, and Resources
Attend the team/stakeholder meeting, present an overview of the proposed project and the support required by the team. Discuss the proposed topic and further discuss the problem statement, goals and objectives and desired outcomes of the project. The overview of the proposed project will also cover the requirements for conducting the project including laws and regulations pertaining to the implementation and functioning of the project. The possible impacts of the project to various stakeholders are also discussed during the meeting with stakeholders.
Request and obtain information from stakeholders including work flow documents, policies and procedures and other reference data related to the project. The stakeholders as major drivers of the project will present documentations regarding preferred work flow, policies to be considered, and procedures in relation to the implementation of the project. The data provided by stakeholders will aid the project management team to develop implementation strategies, including timeline and methodologies.
Work with the workflow/software design team to develop a solution using the productivity data file collected from the stakeholders. Work with the coding manager and supervisor to gain agreement on the data entry screen, database, and report designs.
Develop training materials that would be used by the trainers in each step of the project implementation process. The training materials to be considered include face to face training materials, such as team building meetings, case studies, review activities, and coaching (Glasstap, 2020). The other training materials that will be developed is the remote delivery training materials, including e-Laerning, video conferencing, and remote delivery.
Conduct a stage roll-out of specialties. The stage roll-out testing implementation of the program to specialties will consist of four stages. The first stage involves reminders and scheduling, whereby the patients access reminders and while staffs receive notifications of the scheduling. The second stage is the booking confirmations ad online content, which involves migrating the clinical processes to the e-Consult system. The next stage is testing the appointment booking of outpatients and other partial bookings. The last stage is the auto-offering last minute cancellations and letter workflows testing.
Develop a project communication plan that will detail how decisions will be communicated to the stakeholders. The communication plan will incorporate both internal and external communication strategies. The communication plan matrix is provided in the table below.
